- A Booking Application Form must be completed at least seven days before the proposed usage. The minibus must be returned in good condition, clean and free of litter inside.
- Please be aware that there is a £150+ VAT excess charge for any damage caused by hirers. Any damage from accidents by organisations using the minibus must be paid by them up to this limit.
- Organisations must be registered with Cartmell Community Minibus.
- All drivers must be approved by Cartmell Community Minibus before they drive the ‘bus. There is a small one-off charge for the familiarisation/assessment session.
- The vehicle is fitted with an electrically operated tail lift which results in very low ground clearance. Those drivers needing to use the tail lift must undertake training on how to operate it and how to secure wheelchairs inside the vehicle.
- The minibus must be inspected and the checklist completed, making sure to report any damage found when collecting or returning the vehicle. (It is important to report any damage, to avoid unwarranted blame for previous users’ mishaps).
- There is an All-Star Fuel card kept in a plastic pocket in the glove compartment. This must be used for all purchases of diesel and a receipt obtained. Use the PIN on the user’s log-sheet and key fob.
- The user’s log-sheet must be completed, indicating a pre-journey check was undertaken and recording the mileage at the start and finish of journey(s). This must be returned, as soon as possible, with the keys and any fuel receipts, either to the key-issuer or to the Bookings Secretary, Jonathan Barstow.
- The mileage figures must also be recorded on the vehicle log-sheet, left in the bus.
- No smoking, vaping or consumption of alcohol is permitted in the minibus.
- The minibus has central locking features so please ensure that the doors are securely closed but not locked before proceeding on your journey.
- In fairness to the next user, please ensure that, after your use, the fuel tank is at least half-full and that interior of the vehicle is left clean and tidy. A dustpan and brush is provided for cleaning the minibus. Please take all rubbish home with you.
- Any accident, collision damage or mechanical failure should be reported in the first instance to our insurer’s (QBE) helpline: Tel: 0800 389 1708. Breakdown cover, through the AA, is included as part of our Minibus Plus insurance with QBE.
- The details of the accident or breakdown must also be reported as soon as possible to the Chairman (T: 01666 829002 or M: 07872 502347) or to the Booking Secretary (T: 01666 822651 or M: 07780 114924)
- Charging passengers: This vehicle has a Small Bus Permit which allows registered groups to charge their members a nominal sum to cover their costs.
- Any fines incurred, such as parking, speeding or low emission zone infringement, will be the responsibility of the driver.
The Steering Committee reserves the right to refuse use of the minibus if any of these conditions are not met.
